Job Summary:
We are seeking a detail-oriented Procurement Assistant to join our team. The ideal candidate will assist in the procurement process, ensuring timely acquisition of goods and services while maintaining cost-effectiveness.
Duties:
· Compiles and sorts documents, such as invoices and checks, substantiating business transactions.
· Verifies and posts details of business transactions, such as funds received and disbursed, and totals accounts to ledgers or computer spreadsheets and databases.
· Audits invoices against purchase orders, researches discrepancies, and approves for payment.
· Investigates problems that vendors or purchasing agents have with obtaining payment for bills.
· Prepares vouchers, checks, reports, and other records, and reviews for accuracy.
· Reconciles bank statements.
· Reconciles report discrepancies and problems.
· Codes data for input to financial data processing system according to company procedures.
· Assists employees, vendors, clients, or customers by answering questions related to accounts, procedures, and services.
· Prepares and issues purchase orders and change notices.
· Reviews purchase order claims and contracts for conformance to company policy.
Other duties as assigned.
Requirements:
- Proficiency in procurement software
- Knowledge of supply chain management principles
- Ability to negotiate effectively with suppliers
- Familiarity with production planning processes
- Experience in e-commerce platforms for procurement activities
- Understanding of logistics and contract management
- Familiarity with AS400 system is a plus
